How to Hire a Band for a Corporate Event in NYC (2026)

How to Hire a Live Band for a Corporate Event in NYC (2026 Guide)

To hire a live band for a corporate event in NYC, start with your run of show, not a list of bands. Choose a format for each part of the night, confirm the band will follow your program and the venue’s rules, and book as soon as the date is fixed. In our recent New York-area corporate bookings, a jazz quintet with a vocalist cost about $5,000 and a 9 to 10 piece dance band $14,500 to $16,000.

This guide covers the formats that fit each part of a corporate event, what they cost, how far ahead to book, and what to ask before you sign.

Written by the Great Family Artists team. The examples and figures come from corporate and nonprofit events we have played in New York, New Jersey, the Hudson Valley and Colorado. We do not name our corporate clients.

Start with the run of show

A corporate event is built around a program: arrival, dinner, speeches, awards, then perhaps a party. The entertainment has to fit each part, so decide what each one needs before you talk to bands.

Part of the night What works From our bookings
Arrival and cocktails Jazz trio or quintet, string trio, solo pianist or vocalist A jazz quintet with a vocalist for a society dinner at The Plaza (2026); string ensembles for receptions at the Four Seasons Vail, the Ritz-Carlton Bachelor Gulch and the St. Regis Aspen, booked by an events company
Dinner, speeches and awards The cocktail group, or a band playing a low-volume dinner set that stops on cue Agree on the cues in advance: who announces the speakers, when the band stops and when it comes back
The party after the program A 9 to 10 piece dance band, or a DJ with live musicians A 10-piece band for a law firm’s December party at Cipriani 42nd Street (2024); a 9-piece band for a medical nonprofit’s gala at The Highlawn in West Orange, booked again for 2026
Conferences and receptions A DJ, or a DJ with live saxophone DJs for events at the Colorado Convention Center, booked through a destination management company
Large galas and fundraisers A 12 to 14 piece band with full production A 14-piece band for a hospital fundraiser at the Hyatt Regency Denver (2024)

What a corporate event band costs

These are the fees in our signed corporate and nonprofit contracts from 2024 to 2026, grouped by format. They are not a price list. Performance hours, the date, production and travel move every quote.

Format What our clients paid
DJ for a conference or reception $1,250 to $2,250
String trio or string ensemble $3,000 to $4,250
Jazz quintet with vocalist, 5-piece band, or DJ with live musicians $5,000 to $5,500
9 to 10 piece dance band, New York area $14,500 to $16,000
14-piece band for a large fundraiser $25,500
Full audio production with a DJ $35,000 to $39,000

For weddings, the comparable New York range is $8,000 to $22,000 for an 8 to 10 piece band (see our NYC band pricing guide).

How far ahead to book

Corporate events book far later than weddings. Across 23 of our corporate and nonprofit bookings since 2024, the median contract was signed 39 days before the event. 14 were signed within eight weeks, the shortest 7 days out and the longest about six and a half months.

  • December events: our December corporate events were signed between 8 days and about four months ahead.
  • Galas and fundraisers: one nonprofit gala signed eight weeks out in its first year and one month out when it rebooked us for the next year.
  • Hotel receptions for corporate groups: these were mostly signed three to four months ahead. Convention DJs were often booked one to three weeks out.

Late booking works for smaller formats. If you need a 10-piece band on a Friday or Saturday in December, sign as early as you can.

10 questions to ask before you sign

  1. Who is our single point of contact? One person should talk to your planner, the venue and the AV company.
  2. Will you work from our run of show? Send it early and ask the band to confirm each cue in writing.
  3. Can you play a dinner set at conversation level? Ask how the band handles volume while people are eating and talking.
  4. Who announces the speakers and awards? Decide whether the band leader, an MC, the DJ or your own host holds the microphone.
  5. Will you coordinate with the venue’s AV team? Ask who brings the sound system, the microphones for the speeches and the stage lighting.
  6. What are the load-in time and route? Manhattan venues set load-in windows and routes. Make sure the band has them.
  7. Can you send a certificate of insurance? Most venues ask for one that names the venue as additionally insured.
  8. Is the set list right for this crowd? Ask for clean versions and a do-not-play list, and tell the band who is in the room.
  9. What should the band wear? Match it to your dress code or theme.
  10. What does the contract cover? Get the hours, the setup time, the overtime rate, and the deposit and cancellation terms in writing.

How a corporate event differs from a wedding

  • The program comes first. Speeches and awards set the timing, and the band has to stop and restart on cue.
  • The crowd is mixed. Colleagues, clients and board members do not all dance, so the dinner set matters as much as the party.
  • Someone else often runs the event. Many of our corporate bookings come through a planner, a destination management company or a production company. We work from their run of show.
  • Repeat bookings are common. A nonprofit gala, a hospital foundation and several events companies have booked us more than once.

Frequently asked questions

How much does it cost to hire a band for a corporate event in NYC?

In our signed New York-area corporate and nonprofit contracts from 2024 to 2026, a jazz quintet with a vocalist or a DJ with live musicians cost about $5,000, and a 9 to 10 piece dance band cost $14,500 to $16,000. Hours, the date, production and travel move the price.

How far in advance should you book a band for a corporate event?

Book as soon as the date and venue are fixed. Corporate events book much later than weddings: across 23 of our corporate and nonprofit bookings, the median contract was signed 39 days before the event. For a December holiday party with a full band, sign by early autumn.

What kind of band is best for a corporate event?

Match the band to each part of the program. A jazz group or string ensemble suits arrival and cocktails, the same group or a quieter band set suits dinner and speeches, and a 9 to 10 piece band or a DJ with live musicians suits the dance floor after the program.

Can a live band play quietly during dinner and speeches?

Yes, if you ask for it in the contract. A good corporate band plays a lower-volume set during dinner, stops on cue for speeches and awards, and only plays at full dance-floor level once the program ends. Give the band leader your run of show and name who calls each cue.

Does a corporate event band need insurance?

Most NYC venues ask every vendor for a certificate of insurance naming the venue as additionally insured. Ask the band to send it to the venue before the date. We arrange ours for each venue that asks.

Should we hire a band or a DJ for a company holiday party?

Choose a DJ for a conference reception, a tight budget or a small room. Choose a band when the party is the main event and you want people dancing. A DJ with a live saxophonist or a band with a DJ for the breaks covers both.
